Change Notice Template including Assignee

Change Notice Template including Assignee

Until now in a change notice template no assignee and reviewer can be named, the tasks can just be created. I would like to have the possibility to name the assignee and reviewer by role. As the task to update a drawing/3D-data is always will be done by the same role.

I'm nearly certain this is currently possible.

In the workflow activity -- edited within the workflow template editor -- go to the assignee task and then the participants tab.

Change from 'Assignee' to the role chosen. This role should be one that appears on the Context Team page (or Library Team page).

Do the same thing with the review task.

This part I haven't tested but it should work...

Create a soft/sub type of the Change Notice.

Create a custom layout for that soft/sub type.

Remove the Assignee and Reviewer entry cells from the layout.

I think your first answer is about the usage of change notice templates. My idea is about the creation of the template itself.

While template creation there is no possibility to nominated roles/users.

My answer was how to set it up a Change Notice Implementation Plan so that the same role always does the update of the drawing/3D data. Perhaps I misunderstood the question or what the desired end result is.

With 10.2 M030 you can assign a specific role to a resource pool in a workflow assignment.  If you have this 3D task as a change task type you can then map this for assignee / reviewer roles and never have to worry about specific user mapping at the template level.  When you update the team role for this will be pulled into this assignment.  I have a video example that I can upload later.

We already use the possibility to nominate roles in the implementation plan, but my request is about to use the roles already pre-set in the template creation.

Ok, no problem. Here is one while template creation, which is without the nomination possibility:

As the templated is used you can use roles in the implementation plan:

I would expect to get the nomination possibility already while CN template creation.

The video included shows an example of using Roles from the context team based upon the Workflow definitions.  Each Task type in this example is a subtype and uses a different workflow.  Notice in the example there are combinations of single and multi-user configurations.

Hi Jeffrey, Thanks for the video. We have planned to use the Change Notice Templates for unification and standardization of the Change Notices. The most important aspect for this was the ability to define the Assignee and Reviewer to the Change Task in the Change Notice Template. Most of the times, it is required the Assignee and Reviewer be Multiple persons or a context Role. Can we define Multiple Participants/Roles to the Assignee and Reviewer while creating Change Notice Templates?

    I noticed in your video after the Change Notice Template was select, the participants on the change Tasks were auto selected. How did you configure the system to have those participants auto selected for that CN Template? Appreciate any help you can provide

Quinn Tian‌ I am using Resource Pools in the workflow to do this.  With 10.2 M030 you can select Context Roles specifically to allow this kind of granularity.

After finding these in the Windchill Help:

Customizing the Participant List was relatively easy to do for Promotion Requests with only needing to create a copy of a Promotion Request workflow and adjusting all of the Resource Pools in the new workflow. Then display the new PR Workflow to users in the Windchill Preferences>Promotion Process>Default Promotion Processes.

 

For Change Notice Tasks… You could change out of the box Change Activity Workflow but I believe this would change the Participant List for all tasks then.

 

To try and do something like the video above... I got into quite the rabbit hole…

  • Create a new Change Task Subtype… for user to select the task with a the custom Participant List
  • Create a new Change Activity Workflow to create the Resource Pools
  • Create a new Change Activity Life Cycle to launch the new workflow
  • New OIR needed too?
  • Repeat for EVERY task you want a different Participants List

@JeffZemsky Can you clarify what steps are required? This seems like a ton extra objects to create/maintain unless I'm missing something.
