Feed back from promotion request

We are manufacturing industrial automation products. I am a team leader in PLM implementation.

We have created an activity task in project planning which can be started after approval of a document which is attached to a promotion request.

We are sending promotion request to next level for review and approval. We are not aware of  when they completed the review and approval.

Because of that, we need to keep on search and check the status of a document whether it is approved or still under review frequently.

If we can link the promotion request to the activity task (after completing promotion request, activity task should trigger like a predecessor relationship) or if we have a notification whenever the promotion request is completing a stage - review and approval, we can manually trigger the activity task.

4. What is the use case for your organization?

One approach to consider is this (not really elegant but may be a step better).

Create a group and add / remove interested users.

Make sure that promotion requests are created in a certain folder in each Product.

Subscribe the group to Promotion Requests, to the event of state change.

This will notify all users currently in the group when the Promotion Request is approved.

Note: Could subscribe the group instead to the Document object, for the event of state change.

Another way is to create a query builder report, save it, then create a data monitor.  Would need to work a little bit on the criteria that triggers this to avoid redundant notifications.  Again for this, the distribution ideally would be a group, but such reports can only be sent to individual user(s).
