Lifecycle based watermark on published PDFs from Office document

We are manufacturers of Food Processing machineries for our customers worldwide. Our stakeholders are our internal customers with in our organization and outside our organization.

3. Describe the problem you are trying to solve. Please include detailed documentation such as screenshots, images or video.

We have configured OOTB configuration of PDF conversions for Microsoft Documents using Adobe Exchange Manager (Adobe LiveCycle Manager).

In our design process we have a lot of Engineering documents and Procurements documents which are shared with multiple stakeholders. During their course of viewing or producing parts, they might not get notified if the linked part with Document is released or not. We would like to have a watermark across all the pdf pages saying document is not released or such warning message.



4. What is the use case for your organization?
As explained above

5. What business value would your suggestion represent for your organization?
This requirement is critical to minimize the cost of production of parts or procurement of parts to our organization. If the part is not released and part has been procured without notice represented in document, that would lead to higher parts costs as well higher lead cost. The benefit of having a watermark is, that it can be placed popular in middle of a page

@HelesicPetr  No, I had contacted PTC Techsupport on the same and assumed its possible, however its not. Below is the reply from Tech support.

 

Thank you for your time on the call yesterday.
After fully understanding your requirement I further explored all the ways to have conditional watermarking. However as per the OOTB configuration of the AEM based watermarking , it will be consistent for the all the lifecycle states.
During our last call, we discussed the caveats mentioned in the Resolution section of the article https://www.ptc.com/en/support/article/CS52184
Please note that supporting such requirements are out of scope of PTC Technical Support.
That means you need to explore other way using customization if you want to have different set of watermarking based on lifecycle state of the document.

In order to get this feature in the OOTB configuration of the product, I would request you to file a new Product Idea by referring https://www.ptc.com/en/support/article/CS67713

Other vendors already sell solutions that can do this.  The one we use is linkAccess by Fishbowl solutions.  It automatically stamps approval information on 'released' objects, adds watermarks to 'under review' or 'confidential' objects, and automatically exports all PDFs from one particular context to disk as soon as they are published.  It is very flexible. What is stamped can vary by lifecycle state, context, sheet size, and some other things. While it would be nice if PTC offered something like this, it would probably be more complicated, offer less functionality, and cost way more.
