Configuring Workflow Tasks: Allow group-based routing where any single member can complete the task

Hi everyone,

I am looking to optimize our Change Request workflow. During the step where Change Administrators assign members to the Change Review Board (CRB) role, I want them to be able to search for and assign an entire Group rather than individual users.

Once the workflow task is routed, it needs to go to all members of that group, but only one member of the group should need to complete it for the activity to move forward.

Example Scenario:

  • Role: Change Review Board

    • Group A (Members: Person 1, Person 2, Person 3)

    • Group B (Members: Person 4, Person 5, Person 6)

  • Desired Behavior: Any one person from Group A (1, 2, or 3) can complete the task for Group A, and any one person from Group B (4, 5, or 6) can complete it for Group B.

Is this setup doable out-of-the-box in Windchill? If so, what is the best way to configure the role resolution, routing, or tracking to achieve this "one user per group" completion requirement?

Any guidance or documentation pointers would be greatly appreciated!

I would then set up a different task for each group and then have an And connector after.  If you only have one group that needs to approve then you would bypass the other task straight to the And.  You could have choices in the first task that could say Group A, Group B or Both Groups and the routings would go accordingly.

Do you mean that, in the Set Up Participants tab, you want to be able to add a group instead of individual users?

In the Change Administrators task you would set the CRB Resource Pool to a group.  You could make the group name CRB Master and put the groups you want inside of there.  Then on the CRB task you under the Participants tab you would make it required and then Any.  This is all OOTB.

    This would mean that if I add 2 groups of 3 users each, the task will move forward if any 1of the 6 users complete the task. I need to setup such that, if 2 groups are selected, 1 user from each group should complete the task i.e 2 users
