Windchill availability within company group

Does anyone have a practical solution to streamline the communication about the availability of Windchill between the members of the company group?


Suppose you have one centralised Windchill implementation, with several replicated satellites. How do you keep in touch with remote admins and remote users? About a system crash, a performance issue, an upcoming maintenance shutdown, configuration issues, ...


Mailing back and forth is out of the question. Windchill is obviously not an option as well. I'm looking for a low level portal, maybe a forum somewhere on the internet ...

Not sure if this is in the right direction but I thought it seemed like a cool communication service.

Hugo,

We have created a network of Business Process Leads to whom we communicate
using Lotus Notes groups. We also have a smaller network of Stakeholders,
key business leaders to whom we report on status of various projects,
etc., to whom we also communicate using Lotus Notes groups. We then rely
on that network to disseminate information as they see fit to their
particular business unit.

We have found that informing all users of an outage over a weekend, for
example, just ends up with 100s of "Please remove me from this
distribution" eMails. But if we do not communicate the outage, then we
get angry stakeholders asking why their business unit was not informed of
a scheduled outage in a timely manner. It is worth noting that before we
created the BPL network, we once had a communication to all users about an
outage result in a week long "reply all" fiasco in which about 100 "reply
all" messages were telling all others to either stop replying to all
recipients, or else to remove them from the distribution list. Since then
we use the bcc option for all BPL e-mail communications with an IT point
of contact in the body of the message. We also stopped sending those
message to every single user.

The use of this "community of practice" that includes BPLs and
Stakeholders is a good compromise. Each of those groups meet monthly, as
well, to share best practices and communicate issues into and out of our
IT organization. We also have a director-level Steering Committee for
product lifecycle management and enterprise systems, but they do not get
routine outage communications.
